FAQs

Whether you charter every month or you are pricing your first flight out of Boca Raton, bring us the questions. Below are the ones we get asked most, answered the way we would answer them on the phone.

If yours is not here, call us. We would rather talk it through than have you guess.

About working with us

When can I reach you?

Anytime. Whatever time zone you are in or flying to, someone is available to help with your trip. We work day and night, 24/7/365.

Where are you based?

Air Charter Advisors is a U.S. air charter broker headquartered in the Philadelphia region, and Boca Jet Charter is how we serve southern Palm Beach County. Our operator relationships run across the country and abroad, so we arrange flights from wherever you are departing. Boca Raton Airport and the other South Florida fields are the ones we work with most often here, and we know them well.

What does a dedicated advisor actually do?

One person owns your trip from the first quote to the moment you land. They source the aircraft, confirm the operator, handle the FBO and the ground details, and pick up the phone when something changes. You are not handed between departments.

How do you handle my privacy?

Passenger names and itinerary details are confidential and shared only where a party needs them to run the flight, which usually means the operator and the FBO. Nothing goes further than that.

Who are your clients?

A broad range. Corporate teams and flight departments, families and individuals flying for leisure, sports teams and event groups, patients needing non-emergency medical transport, pet owners, and companies moving time-critical cargo. If you are not sure your trip fits, ask.

Do you arrange supplemental lift for aircraft owners?

Yes. We have worked with corporate flight departments to fill the gap when a second aircraft is needed for simultaneous trips, or when a trip needs more range than the aircraft on hand. Depending on routing and availability, that can come together in a matter of hours. Fractional owners use it too, chartering outside their plan so they can spend their program hours where those hours go further.

Do you offer shared or per-seat flights?

No. We arrange completely private flights under FAR Part 135 (or the foreign equivalent), and by law we can only sell a flight to a single entity. You are welcome to put a group together and split the cost amongst yourselves, but the contract is with one person. That person is our single point of contact and carries the financial and legal responsibility for the flight. Per-seat public charter falls under FAR Part 380, which is a different set of rules.

Boca Raton and South Florida

Which airport will I fly from?

Usually Boca Raton Airport (KBCT). It sits between West Palm Beach and Fort Lauderdale, it has one 6,276-foot runway, and it handles a good deal of the light and midsize jet traffic in this part of the county. The alternatives are all within a short drive: Fort Lauderdale Executive (KFXE), Fort Lauderdale/Hollywood International (KFLL), Miami-Opa Locka Executive (KOPF), Miami Executive (KTMB), Pompano Beach Airpark (KPMP), Lantana (KLNA) to the north, and President Donald J. Trump International (KDJT) at West Palm Beach. We will recommend the right one when we present the first quote.

What is the closest airport to Boca Raton?

Boca Raton Airport, which sits inside the city itself just off Interstate 95. Pompano Beach Airpark is the next field to the south and Lantana the next to the north, with Fort Lauderdale Executive and President Donald J. Trump International both a straightforward drive in either direction. Which one is right for your trip depends less on distance than the aircraft, the passenger count and whether you need to clear customs. Tell us where you are actually starting from and we will work from there.

Has Palm Beach International been renamed?

Yes. Palm Beach International Airport in West Palm Beach became President Donald J. Trump International Airport in 2026, and its identifiers changed with it: the FAA and ICAO code is now KDJT and the IATA code is DJT. The former codes have been retired and are no longer recognized in FAA systems, so anything still quoting them is out of date. Plenty of people call it Palm Beach International out of habit, and we know which airport you mean either way.

Can I clear customs at Boca Raton Airport?

Yes, and the hours are the part worth planning around. The customs facility at Boca Raton runs Thursday through Monday, 10:30 AM to 6:30 PM. Clearing outside those hours can often be arranged, but the request has to be made while the facility is open, so a Tuesday or Wednesday evening arrival from abroad needs setting up several days in advance.

If that does not suit your schedule, there are other options nearby. Fort Lauderdale Executive clears from 8:00 AM until just before midnight, Fort Lauderdale/Hollywood International clears around the clock, and President Donald J. Trump International is an international airport of entry. Tell your advisor early if you are arriving from abroad and we will confirm what your routing needs.

Are there restrictions on late-night flights at Boca Raton?

Boca Raton Airport asks operators to observe a voluntary curfew between 10:00 PM and 7:00 AM. It is voluntary, and the Airport Authority states plainly that it cannot enforce a mandatory access restriction, so a late arrival or departure is not blocked. It is followed up and reported afterwards. The airport itself is open 24 hours a day; the control tower runs from 7:00 AM to 11:00 PM, and outside those hours aircraft self-announce. If your trip needs a late slot, say so early and your advisor will talk you through it.

Do international permits get arranged before I book?

No. Many international destinations require special permissions for landing and customs. Permits are generally applied for after a trip has been secured on the aircraft schedule, and sometimes the timeline is dictated by the local airport authorities. We will always do our best to ensure departure and arrival times meet your needs, but these are sometimes subject to the approvals of the local airport authority and government.

Does the airspace around Palm Beach affect my flight?

Palm Beach carries standing federal airspace restrictions, which occasionally change routings into and out of the West Palm Beach airport. They rarely stop a trip, but they can sometimes move a departure time or make a different airport the better option. Your advisor will tell you whether anything applies on your dates.

What happens during hurricane season?

Hurricane season runs June through November, with the peak in September, and summer afternoons bring thunderstorms that build fast and close airspace while they pass. Your advisor watches the forecast ahead of your date and will call you before you call us. The operator and the Pilot in Command hold the final decision on takeoff and landing.

Do you only cover Boca Raton?

No. We arrange flights across South Florida and the Treasure Coast, including Fort Lauderdale, Miami, West Palm Beach, Jupiter, Stuart and the Palm Beaches, and out to the Bahamas, the Keys and the Caribbean. Each has its own airports and its own FBOs.

Booking and pre-flight

How far ahead do I need to book?

Depending on your routing and what is available, a private flight can be arranged with as little as six hours’ notice. More notice gives you more choice of aircraft, so book early when you can.

How do I decide which aircraft is right?

Your advisor will work through it with you. Flight distance, passenger count, baggage, and the runway at both ends all narrow the field, and your preferences do the rest. Our aircraft guide has photos and specifications for the aircraft chartered most often, if you would like to look before you call.

Are there luggage limits?

Yes, and they vary a lot by aircraft. Every aircraft has a different baggage compartment size and weight limit, and your bags travel in the aft compartment or the nose. Tell us the expected weight and dimensions when you book so we can size the aircraft correctly. Soft-sided bags pack better than hard cases if you are trying to fit more in. Call us about oversized or fragile items and we will walk you through the options.

What documentation do I need?

A government-issued photo ID before boarding. For international travel, every passenger needs a passport, and any documents required by law or customs must be shown to the flight crew before boarding. Passengers without the proper documentation cannot board.

How do I pay for my private charter flight reservation?

Payment is accepted in the form of a bank wire transfer, ACH transfer, or major credit card. At this time, we do not accept any forms of cryptocurrency or virtual credit cards.

  • Bank Wire Transfer / ACH Payment discount: By electing to pay via Bank Wire Transfer or ACH Transfer, you will pay the amount quoted by your advisor, which includes a 5% cash payment discount.
  • Credit Card Payments: If you elect to pay via personal or corporate credit card, the 5% cash discount is removed. Additionally, please note that in the event of any cancellation or refund, credit card processing fees and the 5% price difference are retained by Air Charter Advisors as non-refundable administrative costs.
  • Incidental Guarantee: In addition to the payment method used for your flight, Air Charter Advisors requires a valid credit card on file as a guarantee for incidentals and operational extras (such as catering, ground transportation, pet cleaning fees, Wi-Fi, or de-icing). A temporary incidental hold (such as a $5,000 authorization) may be applied at the time of booking and released post-flight if no balances remain.

For additional questions regarding payment deadlines, wiring instructions, and cancellation policies, please reach out to your Air Charter Advisor directly or review your executed Charter Broker Agreement: Standard Terms & Conditions.

What happens once I have booked?

Your charter itinerary comes by email. It confirms the dates and estimated departure times, every flight segment we have arranged for you, the aircraft type, and anything else you asked for when booking. You will also have the operator name and the tail number before you fly.

Can you arrange my transportation to and from the airport?

Yes. With enough notice before your flight, we can arrange ground transportation through a third-party vendor. Options include chauffeured sedans, stretch limousines, Sprinter-style vans, and even armored vehicles. Let your advisor know what you need when you book.

Do you book hotels, tours or concierge services?

Not directly. We keep our attention on the flying. That said, we have built relationships with providers over the years, so ask your advisor and we will point you to someone good.

What are airport slots?

A slot is prior permission from the airport and Air Traffic Control to arrive or depart in a specific window. They come into play at busy airports during major events, when ramp space and parking are tight. If your trip needs one, your advisor will handle the request as part of the booking. Learn more about airport slots.

On board

What is the terminal like?

At most airports you will use a fixed-base operator, or FBO, which is the private terminal on the field. Most FBOs at the airports we use offer a lounge area, restrooms, and complimentary refreshments. Many sell fuel and have hangars and/or repair shops attached. Smaller airports may use a general aviation building or have minimal facilities; your advisor will confirm what to expect at yours.

Do the aircraft have bathrooms?

It depends entirely on size. Charter aircraft run from two-seat pistons up to airliners, and the smaller the aircraft, the fewer amenities fit. Larger cabins have a fully enclosed lavatory with a toilet, sink and room to change. Mid-size aircraft often have a semi-enclosed lavatory behind a curtain. The smallest aircraft may have a lift-up seat for emergencies, or nothing at all. Ask before you book if it matters for your trip.

Will there be a flight attendant?

Some aircraft require a flight attendant, others do not. If yours does not and you would like one anyway, flight attendants may be available on request.

Can I smoke on board?

On some aircraft, yes. It is one of the reasons people charter. Tell us up front, because special arrangements have to be made and not every aircraft or operator allows it.

Can I bring my pets?

Yes, and plenty of our clients do. From teacup breeds to large ones, but not every aircraft or operator accepts animals in the cabin, so tell us about your pet when you first call and we will find a carrier that does. Depending on the animal, the distance and the length of the trip there may be requirements around crating, so it is worth talking through early.

Is there Wi-Fi and entertainment on board?

Depending on the size and capabilities of the specific aircraft selected, many private jets offer advanced in-flight amenities. Some features are complimentary, while others incur additional fees.

While not all aircraft feature the items below, we can arrange your charter flight to include them by request (availability varies by aircraft model, service areas, domestic versus international flights, and over-water routing):

  • Wi-Fi High-Speed Internet (such as Gogo for domestic routes or Starlink/Viasat for international and over-water connectivity)
  • Televisions
  • Smartphone Connectivity
  • Music and Entertainment Systems
  • Coffee / Espresso Machines & Microwaves

Important Note: Because amenities vary significantly by aircraft (smaller light jets may have limited cabin space, lack specialized galleys, or experience signal drops), please notify your dedicated advisor of any must-have tech or catering requirements prior to booking. Any added amenities, special requests, or third-party operational costs will be billed in accordance with your Charter Broker Agreement.

What makes a qualified flight crew?

FAR Part 135 sets minimum crew requirements by aircraft type, and some aircraft types are certified for single-pilot operations. Beyond the regulatory minimum, we confirm that the pilots assigned to your flight are experienced and current on the specific aircraft type you will be flying on. That check happens before we present the aircraft to you, not after you book.

Who actually operates the aircraft?

A certified third-party air carrier. We search for aircraft with minimal repositioning cost and competitive pricing wherever your trip starts, present you the options, and once you have chosen we secure the aircraft. You will have the operator name and the tail number on your itinerary before the flight. How we review those operators is set out on our safety page.

Are you the airline, or the broker?

The broker, and we say so in writing. Under DOT Part 295, when we book a flight as your agent rather than as the operator, we put it in writing.

Air Charter Advisors, Inc. serves as an agent in obtaining air charter services for our customers. Air Charter Advisors, Inc. is not a direct or indirect air carrier and does not own or operate any aircraft on which our customers fly. All flights arranged by Air Charter Advisors, Inc. are operated by FAR Part 135 or FAR Part 121 air carriers, or the foreign equivalent (“Operators”), who maintain full operational control of charter flights at all times. Operators must meet FAA or applicable foreign safety requirements as well as the additional safety standards established by Air Charter Advisors, Inc.
